Bid Coordinator

About The Role

We have an exciting opportunity for an experienced Bid Coordinator to join our growing team. As a Bid Coordinator, you will be responsible for managing the bid process from start to finish, ensuring that our proposals are of the highest quality and submitted on time. This role offers a mix of diversity with a supportive (and fun) team to work with, you’ll be reporting directly to the Senior Manager- Pre-Contracts, adding a layer of strategic guidance and a touch of excitement into your everyday tasks.


  • Coordinating the preparation of bid submissions, tender responses, expressions of interest including gathering information from internal stakeholders, preparing responses to client questions, and finalising bid documents
  • Identifying all requirements and criteria for evaluation and prepare qualitative documentation for submission to ensure the responses meet the tender specifications.
  • Preparing all tender documentation to a high, polished visual standard using advanced word processing and design software.
  • Managing the bid review process, including coordinating internal and external review meetings, and ensuring that feedback and project deliverables are incorporated into the bid submission.
  • Researching and maintaining up-to-date knowledge of industry trends, subcontractor pricing, products, and market conditions for new work opportunities and to inform bid preparation.
  • Assisting with general administration and the design management process including coordination of consultants and document control.
  • Ensuring that bid submissions are completed in accordance with company policies and procedures and that all necessary approvals are obtained.

What You Need To Excel In The Role

  • A minimum of 2 years of experience in role similar to Bid/proposal coordinator, project coordinator within the construction industry.
  • Strong project management skills, with the ability to manage multiple projects concurrently and meet tight deadlines.
  • Ability to read construction documentation.
  • Excellent written and verbal communication skills, with the ability to quickly grasp new and technical concepts and clearly articulate information in a simplified manner.
  • Advanced proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Publisher. Canva or similar a distinct advantage.
  • A keen eye for detail and a commitment to producing high-quality work.
  • A positive and proactive approach, with the ability to work effectively in a team-oriented environment.
